How do I invite suppliers to complete a questionnaire?

The NQC platform simplifies the process of inviting your suppliers to complete questionnaires. You do this by creating a campaign and adding contact details and information about the scope of the questionnaire that you want your suppliers to complete.

Background

Before you invite your suppliers to complete a questionnaire on the NQC platform, you must first communicate with your suppliers about your requirements. It is important that the first communication that your suppliers receive is directly from you. This communication should come from a senior representative within your organisation and it should clearly outline your requirement and explain why you are asking your suppliers to complete the questionnaire.

Steps

To create a campaign of suppliers to invite to complete a questionnaire, follow these steps


  1. Sign in to your NQC account.
  2. Choose the 'Upload suppliers' option from your 'Supplier questionnaires' tab on your Dashboard.
  3. Enter a name for your supplier campaign. Only you and your colleagues will have visibility of the campaign name.
  4. Choose the 'Campaign' type option.
  5. Choose the questionnaire that you want to invite your suppliers to complete from the drop-down 'Assessment' menu.
  6. Choose 'Download template'.
  7. Fill the template with your supplier data, ensuring each supplier has a confirmed email address and a clearly defined scope for the questionnaire (for example a full location address or DUNS number). Follow the CSV guidance carefully. Upload the completed CSV file using the 'Upload suppliers' option. Once the campaign is created, the platform will issue emails to the supplier contacts listed in your CSV file.
  8. Set the start and end dates - we recommend setting the end date 8 weeks from the start date, after which suppliers will no longer be able to use the campaign invitation code.
  9. You can view the platform invitation and reminder email templates by clicking the template links, and you can add your own custom message to the existing templates.
  10. You can also change the 7-day default frequency of reminder emails.
  11. Select which colleagues you would like to share this campaign with - users who do not have access will not be able to view the campaign invitations or progress of questionnaire completion.
  12. Select 'Start' to create the campaign.
  13. Those suppliers included within your template upload will be issued an email invitation requesting them to complete the questionnaire by the deadline you have selected.
